What we collect through the questionnaire, why we process it, how long we keep it, and how to withdraw your consent.
Who we are
Digital Sailors builds websites and runs digital marketing for yacht clubs, sailing schools, regatta organizers, marinas, and marine businesses. This page is maintained by Digital Sailors to explain how we handle information you send us. Questions? Email info@digitalsailors.org.
What we collect
Only what you type into our forms: your name, email address, optional phone number, organization, country or region, and your answers about your project — goals, design preferences, features, technical setup, and budget range. We do not ask for payment card details, government IDs, or any special-category personal data.
Why we process it (lawful basis)
We process questionnaire submissions on the basis of your consent, which you give with the checkbox on the questionnaire before submitting. Where you become a client, we continue processing the same details on the basis of performing our contract with you. Marketing emails are sent only if you separately opt in.
The consent we record
When you submit the questionnaire we store, together with your answers:
the exact consent wording you accepted;
the consent version identifier (currently 2026-08-03);
the date and time you accepted it;
whether you also opted in to marketing emails.
“I consent to Digital Sailors storing and processing the details I submit in this questionnaire for the purpose of preparing and discussing a proposal for my project, as described in the Digital Sailors Privacy Policy.”
How it is used
To prepare your proposal, generate the PDF summary of your answers that we email back to you, and to talk with you about the project. We do not sell your data, and we do not share it with third parties for advertising.
Where it is stored and who processes it
Submissions and generated PDF summaries are stored in our managed cloud backend (database and private file storage), and summary emails are delivered through our transactional email provider. These providers act as processors on our instructions and only handle the data needed to store your submission and deliver your email.
How long we keep it
Up to 24 months from submission, unless you ask us to delete it sooner or we are working together, in which case we keep project records for the duration of our engagement plus any period required for accounting and legal purposes.
Your rights
Under the GDPR and comparable laws you can ask us to give you a copy of your data, correct it, delete it, restrict or object to our processing, port it elsewhere, or withdraw your consent at any time. Withdrawing consent does not affect processing that already took place.
Email info@digitalsailors.org with your request and the email address you used, and we will respond within 30 days. You may also complain to your local data protection authority.
Cookies and analytics
This site sets no advertising or cross-site tracking cookies. Strictly necessary storage runs the site (security, form submission, spam protection and remembering your cookie choice) and preference storage remembers your questionnaire progress in your own browser.
Google Analytics loads only if you allow the analytics category. Under the GDPR and the Australian Privacy Act nothing non-essential runs before you opt in; under the CCPA/CPRA you can opt out at any time, and Global Privacy Control or Do Not Track browser signals are honoured automatically. We never sell or share personal information for advertising.
— your decision is stored with its version and timestamp, and can be withdrawn in one click.
Changes to this notice
If we change how we handle your data we will update this page and the consent version shown on the questionnaire. This notice is app-owned editable content, not an independent audit or certification.
Only what you type into our forms: your name, email address, optional phone number, organization, country or region, and your project answers covering goals, design preferences, features, technical setup, and budget range. We never ask for payment card details, government IDs, or special-category personal data.
What is the lawful basis for processing my questionnaire answers?
Consent, which you give with the checkbox on the questionnaire before submitting. If you become a client we continue processing the same details to perform our contract with you. Marketing emails are sent only if you separately opt in.
What consent record is stored with my submission?
The exact consent wording you accepted, the consent version identifier, the date and time of acceptance, and whether you also opted in to marketing emails — all saved alongside your answers.
How long do you keep my data?
Up to 24 months from submission, unless you ask us to delete it sooner. If we are working together we keep project records for the duration of the engagement plus any period required for accounting and legal purposes.
How do I withdraw consent or request deletion of my data?
Email info@digitalsailors.org with your request and the email address you used. You can ask for a copy, correction, deletion, restriction, objection, portability, or withdrawal of consent, and we respond within 30 days. You may also complain to your local data protection authority.
Is my data shared with third parties or used for advertising?
No. We do not sell your data and we do not share it for advertising. Submissions and PDF summaries are stored in our managed cloud backend and summary emails are delivered by our transactional email provider, both acting as processors on our instructions.
Does this website use tracking cookies?
No advertising or cross-site tracking cookies are set. Strictly necessary storage runs the site and remembers your form progress. Google Analytics is only loaded if you allow the analytics category in the cookie banner, and you can change or withdraw that choice at any time using the Cookie settings link in the footer.
How do I opt out of analytics or exercise my CCPA rights?
Open Cookie settings in the footer and either reject all non-essential storage or use the 'Do not sell or share my personal information' control. We also honour Global Privacy Control and Do Not Track browser signals automatically, and we never sell personal information.
